For bookings made 60 days or more before your safari begins:
A 30% deposit of the total booking value is required to confirm your reservation. The remaining balance is due 60 days prior to the first service date.
Failure to settle the balance by the due date may result in cancellation, with standard cancellation fees applied.
For bookings made within 60 days of the first service date, full payment is required at the time of booking.
Please note: a 5% surcharge applies to all credit card payments.
Important:
Some service providers, especially during peak seasons, require full payment upfront and impose 100% cancellation charges. If applicable, these conditions will be clearly communicated at the time of booking.
Price
Our safari prices are based on the prevailing rates and operational conditions at the time of booking. We reserve the right to adjust rates in response to changes in government taxes, fuel costs, or currency fluctuations.
All prices are quoted in U.S. dollars, based on two guests sharing a twin or double room. Single occupancy is available at an additional supplement, and child rates can be provided upon request.
Guests should remain flexible, as itineraries may occasionally change due to circumstances beyond our control—such as lodge overbooking or unexpected operational challenges. Expenses of a personal nature (e.g., tips, beverages, laundry, optional activities) are not included unless stated otherwise.
Pricing Errors
We strive to provide accurate pricing at all times; however, occasional errors may occur. If an error is identified before or during booking, we will inform you immediately. If your booking is already confirmed, you may choose to continue with the corrected price or amend your itinerary. Should you decline the revised pricing or alternatives provided, we reserve the right to cancel the booking.
Cancellation Policy
The cancellation policy will apply to the date we receive the written instructions of the cancellation. You will be liable for cancellation charges in accordance with the following scale, based on the number of days prior to the first service we have booked for you, of the date of cancellation:-
Less than 14 days prior – 100% of the total cost
30-15 days prior – 90% of the total cost
60-31 days prior – 70% of the total cost
90-61 days or more prior – loss of deposit
Any variations or changes to these conditions are at the discretion of each service provider. If the reason for your cancellation is covered by your insurance policy you should be able to make a claim and recover your cancellation fee. If you cancel a portion of your arrangements, you will be charged the cancellation fee on the portion canceled.
Please note: Gorilla trekking permits in Uganda and Rwanda which are quoted and paid separately attracts 100% cancellation fees.
Amendments
Any amendments made after the confirmation/invoice has been issued, but before the full balance has been paid will be charged at $50 per amendment, in addition to any fees levied by the individual service provider concerned.
Amendments made after the full balance has been settled (or is due to be settled) may be adjudged to be a cancellation and re-booking, and therefore potentially subject to the cancellation policies. No credit or refund is available for any unused services once the arrangements have commenced.
We reserve the right to make changes to your travel arrangements at any time, as may be occasionally necessary. If the change is minor, we will do our best to notify you in advance but we are not obliged to do so.
Itinerary Changes
If we are unable to provide a significant proportion of your Itinerary whilst you are away, suitable alternative arrangements will be made for you at no extra cost or, alternatively, you will be given a pro-rata refund for any part of the Itinerary not received. This does not apply to minor changes in your accommodation, itinerary, or transportation.
Liability
If the contract we have with you is not performed or is improperly performed by us or our suppliers we will take the appropriate measures. However, we will not be liable where any failure in the performance of the contract is due to you; or a third party unconnected with the provision of the travel arrangements and where the failure is unforeseeable or unavoidable.
Force Majeure
Safari Herd shall not be liable for any failure to perform the contract which is due to circumstances beyond the control of Birding ad Beyond or our suppliers, including but not limited to; war; the threat of war; riot; civil strife; industrial dispute; terrorist activity and its consequences; natural &/or nuclear disaster; fire; adverse weather conditions; epidemics & pandemics; technical problems with transport; closure or congestion of airports, ports, rail or roads.
Flights
The Company can book scheduled airline flights to, from and within Africa via a flight consolidator. However, please note that a service fee will apply. We cannot be held responsible for any schedule changes, flight delay or flight cancellations that occur to your flights and that consequently affect your travel arrangements.
Airline Clause
The airlines concerned are not to be held liable for any act, omission or event during the time the passengers are not on board their planes or conveyance. The passengers’ tickets in use by the airline or by other carriers concerned when issued shall constitute the sole contract between the airlines and the purchaser of these tickets and/or passengers. Please note that we subcontract the flying services to independent charter operations, and they are responsible for the flying.
Child Policy
Children of 12 years and older will be considered adults and be charged the appropriate rates. Some establishments offer a discounted rate for children under the age of 12 years, though this will be advised depending on the supplier.
Depending on the supplier, children under the age of 12 may be unable to take part in certain activities, or even not allowed at the establishment. It is the responsibility of guests to confirm these details before confirming any bookings.
Complaints & Arbitration
Problems or dissatisfaction with any of the accommodation or services we have arranged for you should, in the first instance, be brought to the attention of the establishment or service provider manager. Failure to do so will limit the opportunities for Birding and Beyond to seek redress on your behalf. If you wish to follow up with Birding and Beyond, please do so within 30 days of your return.
Passport, Visa & Immigration Requirements
Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa, or immigration requirements.
Travel Insurance
We strongly advise that you have adequate insurance cover in place at the time of making your booking. Your insurance should include cover for cancellation or curtailment of your holiday as well as the cost of repatriation in the event of death, accident, injury, or illness.
